Requests

The Requests page (titled Shift requests) is where admins and owners review shift-change requests from staff — sick leave, days off, swaps — and decide on replacements. Staff usually start a request from Telegram; the web page mirrors those conversations and lets you make the final call.

Who sees this page

Requests is visible only to admins and owners. Regular staff interact with requests through Telegram.

The request list

Use the status filter in the header — All, Pending, Approved, Rejected, Cancelled, Expired — to narrow the table. Columns:

  • Employee, Type, Period, Status, Created
  • Replacement — for approved requests: the substitute, or a No replacement tag
  • Decided by — who approved or rejected it
  • ActionsEdit (pending and approved requests) and Delete

Click a row to open the request details. On mobile, the table becomes a list of cards.

Request types and statuses

Types: Sick leave, Day off, Shift swap, Other.

Statuses: Pending (blue — awaiting your decision), Approved (green), Rejected (red), Cancelled (withdrawn by the employee), Expired (the period passed without a decision).

Creating a request manually

Requests normally arrive from Telegram, but you can log one yourself — for example, when someone calls in sick by phone:

  1. Click New request.
  2. Choose the Requester, the Type (defaults to Sick leave), and the Period (required).
  3. Optionally add a Summary.
  4. Click Create.

Deciding a pending request

Open a pending request to see its details: the period, the employee's Original message from Telegram, and Notified managers with Delivered tags showing who was informed.

The Decision section offers two paths — Assign replacement (approve) or Reject:

  1. To approve with a substitute, keep Assign replacement selected and pick a person. The list can be filtered by location and is grouped:
    • Can cover — staff who answered "yes" to the Telegram poll asking if they can cover the shift;
    • Other staff — everyone else eligible. Staff with the same position as the requester are listed first, and each option shows the position and a Busy / Free tag for the period.
    • You can also approve with No replacement if the shift will go uncovered.
  2. To reject, switch to Reject and confirm.
  3. Click Save. The employee is notified of the outcome in Telegram.

WARNING

Approving a request marks the employee as unavailable for the period — the work schedule will flag their shifts and prompt you to assign a replacement if you approved without one.

Replies arrive from Telegram

Candidate substitutes are asked through a Telegram poll, and their answers come in on their own time. While a request is Pending, the page checks for updates every few seconds, so "Awaiting reply" turns into Can cover or Cannot cover without a manual refresh (a Refresh action is also available). If a colleague decides the request first, you'll see a clear message that it has already been decided.

After the decision

  • Approved requests can still be edited — you can change the assigned replacement later.
  • Delete asks for confirmation; affected employees are notified in Telegram.
